Your challenge

Business Unit

The team is responsible for managing discretionary client portfolios on a bespoke basis managing over £1bn in assets for 100 client relationships. The firm is involved in a broad range of activities including Investments, Planning/Structuring and Relationship Management. Each team prides itself on the quality of service it provides its clients, ensuring that it adopts a robust investment process to best manage the investment interests of its clients. We have developed long standing relationships with our clients and are seen by many as trusted advisors to them and their families

Brief Role Objective:

This role will provide assistance to the Team Head with secretarial and administrative support to ensure that they and the team deliver the optimum level of service and experience to their clients. They will also provide support to the wider Institutional Team.

The role will also provide general and administrative support to Investment Managers to ensure that clients receive first class service by ensuring client related tasks are complete accurately and efficiently; and to ensure regular contact with client to ensure consistent support and queries are responded too.

Key Responsibilities:

Team Head & Team Support

  • Responsible for the diary management, monitoring mail and post, travel arrangements and creation of itineraries, preparation of agendas and meeting packs, management and organisation of all institutional Board/IC annual meetings, submission of expense claims, coordination of team’s annual leave, organisation of lunches and dinners as required, for the Team Head and wider team.
  • Assist the Team Head with managing personal appointments.
  • Responsible for arranging weekly team meetings and take minutes as required, maintain relevant task trackers, to ensure deadlines and tasks are completed accurately and in a timely manner.
  • Build and maintain good working relationships with clients and staff from across the business and become a key contact within the team.
  • Assist with the management and coordination of regular and adhoc events

Work with other Investment Assistants within the team to provide support including but not exclusive too:

  • Ensure account opening is fully and accurately complete and monitoring the progress
  • Ensuring that client and prospect data is kept up to date and accurate within the all relevant systems and departments and providing regular information to clients to resolve queries and provide support.
  • Assist with general reporting for Institutional clients, such as managing annual ISAE3000 to all regulated clients, dealing with client queries and correspondence and distribution of relevant materials.
  • Assist in preparing Investment Policy Statements ensuring that client’s objectives, risk profile and financial situation is accurately recorded.
  • Assist in preparing material for client meetings
  • Liaise effectively with external custodians and providers to obtain information for clients and their advisers.

Your profile

IT:

  • Good working knowledge of the Microsoft Office suite of products.
  • Powerpoint presentation skills.
  • Experience working with Figaro (investment management) system would be an advantage

Technical Requirements:

  • Excellent academic qualifications to A level standard or equivalent.
  • Excellent use of English; strong verbal and written communication skills, articulate, confident and impeccable telephone manners.
  • Used to working in a high pressured environment against tight deadlines.
  • Ability to multi-task and organise and prioritise work on both a daily basis and forward planning basis, ensuring both individuals are effectively supported and prepared for all meetings, activities and events.

  • Ability to generate and implement new ideas/initiatives to assist work flow on the desk.

  • Ability to work longer hours from time to time to complete essential work.
  • Experience of financial sector
